New Vacancy: Administration Assistant

The Administration Assistant will hold responsibilities in both secretarial and administrative roles. They will receive guidance and training from secretaries and the Office Manager.

Location: Liverpool city-centre office

Job Type: Permanent

Hours: 09.00 – 17:30 Monday to Thursday 09:00 – 17:00 Friday

Responsibilities

  1. Assistance provided to Secretary:
  • Complete incoming post and outgoing post/DX
  • Deliver items to bank/post office as necessary.
  • Check emails regularly for any Printing jobs/other tasks.
  • Check through the filing (as and when required).

2. Assistance provided to Fee Earners

  • Distribute files for Audits (monthly process)
  • Opening/closing files/Assisting with archives
  • Sending out Conflict Checks.
  • Keeping online conveyancing portals up to date (training will be given).
  • Paper filing, where file is not paperless.
  • Photocopying and scanning as requested.
  1. Office
  • Ensure tea, coffee, milk and sugar as well as water supply are always stocked up and ensuring kitchen is ready for use.
  • Check boardroom/meeting room diary and arrange refreshments as necessary. Clear boardroom after meetings.
  • Light reception duties – meeting and greeting clients and receiving deliveries.
  • Liaise with Secure Storage regarding shredding.
  • Ordering stationary
  • Retrieving Wills and Deeds

  • Punctual and reliable.

  • Be enthusiastic and willing to learn.
  • Be proactive in their daily tasks and able to use their own initiative when problem solving.
  • Be proactive regarding personal professional development.

Support          

An Administration Assistant will be supported in all aspects of the role by their senior colleagues within the Secretarial Team as well as the Office Manager.

Ongoing training and development will be provided to all members of the Operations Department on a regular basis, together with opportunities to for furthering their career.
